Wisła Kraków is seeking an experienced, organized, and communicative individual to manage the Club's secretariat and provide key support to the Board and other departments within Wisła Kraków. This role combines the responsibilities of an office manager, office coordinator, and management assistant, with the unique opportunity to work in a unique sports environment.
Your goal in the club
Your role will be to ensure the smooth operation of the club's office and secretariat, support the Board and lawyers in organizing work, and effectively coordinate administrative processes, including overseeing document flow within the club. You will be responsible for ensuring smooth document flow, efficient communication between departments, and professional service to the club's guests and partners.
Your main tasks
- Secretariat and office coordination
- Organization and supervision of daily administrative processes
- Registration of VAT invoices and bills and preparation of documentation for the Accounting Department
- Documentation management and archiving
- Handling incoming and outgoing correspondence (including recording, scanning and sending)
- Supervision of the circulation of documents and information between the Club's departments
- Serving and coordinating meetings of the Management Board and Supervisory Board at the Club
- Handling visits from domestic and foreign guests, including partners and sponsors – welcoming, providing necessary information and ensuring the smooth running of meetings
- Cooperation with external suppliers and institutions
Support of the Management Board and Legal Department
- Coordination of the meeting calendar of the Management Board and the Legal Department
- Monitoring court dates and court hearing schedules
- Organization of business trips for the Board and other Club employees
- Scheduling Management Board meetings
- Maintaining case files
Who are we looking for?
- People with experience in secretarial work, office administration or a position with a similar scope of responsibilities
- A well-organized person who can work under time pressure in a dynamic environment
- A person fluent in English (due to the international nature of the Club and current and future cooperation; at least B2 level)
- People with very good work organization, accuracy and the ability to set priorities
- Someone who efficiently carries out a variety of tasks and responds quickly to current organizational needs
- People with highly developed communication skills and high personal culture in contacts with clients and institutions
- Candidates with proficiency in using computers, office equipment and MS Office
- A reliable, independent and responsible person for the assigned tasks
